A multi-site order needs a destination schedule as well as a total equipment count. Connect each machine and accessory package to the team that will receive and use it.

Create a record for each destination
Give every site a clear reference, country, delivery location and receiving contact. Record access restrictions and proposed handling arrangements. If the shipment enters through a transit port, distinguish the port from the final project location.
Keep route assumptions separate from confirmed logistics arrangements. A quotation or clearance plan for one country should not automatically be applied to another destination.
Allocate complete equipment packages
Assign tractor configurations, implements, loose accessories and document copies to each site. Check that the site quantities add up to the overall order and that no shared item has been promised to two destinations at the same time.
When identification numbers become available, connect them to the allocation record. Record approved substitutions or destination changes against the dated schedule so packing and receiving teams use the same version.
Arrange handover responsibilities
- Delivery contact and receiving representative
- Applicable unloading and assembly arrangements
- Equipment, loose-package and document checklist
- Qualified commissioning and operator information
- Process for recording shortages or discrepancies
Keep each receiving record separate, then reconcile deliveries against the project schedule. Receipt of one consignment does not establish completion at every site. Ask the relevant logistics and clearing professionals to confirm requirements for each actual route.
